OLNIN PRIVATE LIMITED MEMBERSHIP & FACILITY POLICIES Fairway Junction Premium Co-Working, Executive Workspace & Business Facilities
Version: 1.0 Applies To: All OLNIN Members, Authorized Users, Guests, Visitors and applicable facility users
1. PURPOSE
These Membership & Facility Policies (“Policies”) establish the operational standards governing the use of OLNIN facilities, workspaces, meeting facilities, event areas, technology, security systems and related services. These Policies are intended to maintain a professional, secure, premium and productive environment for Members and their guests.
These Policies supplement the OLNIN Master Membership Agreement and applicable Package Schedule, booking confirmation, quotation or supplementary agreement.
Where a provision of the Master Membership Agreement conflicts directly with these Policies, the Master Membership Agreement shall prevail unless expressly stated otherwise.
2. MEMBERSHIP AND ACCESS
2.1 Access to OLNIN facilities is available only to active Members, Authorized Users and properly registered Guests/Visitors.
2.2 Members must use only the facilities and Services included in their applicable Package or separately purchased by them.
2.3 Membership access is personal and must not be transferred, shared, rented or otherwise made available to unauthorized persons.
2.4 OLNIN may require Members and Guests to comply with identification and registration procedures.
2.5 Access credentials, cards, keys, passwords and other security credentials must not be shared.
2.6 OLNIN may deactivate an access credential where it has been lost, compromised, misused, suspended or where the associated Membership has expired or been terminated.
3. RECEPTION AND ADMINISTRATIVE HOURS
Standard Reception / Administrative Hours 9:00 AM to 6:00 PM
These are the standard operating hours for OLNIN's reception and administrative staff.
3.1 Reception and administrative assistance will ordinarily be available during these hours.
3.2 Certain Members or Packages may have extended or otherwise specified access arrangements, subject to their Package and OLNIN's access-control procedures.
3.3 Access to the premises outside standard reception/administrative hours does not necessarily mean that reception, concierge, secretarial or administrative personnel will be available.
3.4 OLNIN may temporarily modify reception hours because of public holidays, maintenance, security requirements, emergencies or other operational circumstances.
3.5 Where reasonably practicable, Members will be notified of material changes affecting their access.
4. MEMBER CONDUCT
Members, Authorized Users and Guests must maintain professional standards of conduct at all times.
4.1 Members shall:
- behave professionally and respectfully;
- respect other Members and their businesses;
- maintain reasonable noise levels;
- keep workspaces clean and orderly;
- follow reasonable instructions from OLNIN staff;
- protect OLNIN property;
- respect privacy and confidentiality;
- comply with applicable laws;
- and comply with these Policies and the Master Membership Agreement.
4.2 The following are prohibited:
- harassment, intimidation or threatening behaviour;
- violence or threats of violence;
- discriminatory or abusive conduct;
- unlawful activities;
- deliberate damage to property;
- unauthorized access to another Member's workspace, account or information;
- interference with security systems;
- excessive noise or disruptive behaviour;
- activities creating unreasonable safety risks;
- possession or storage of prohibited or dangerous materials;
- and conduct that materially interferes with the professional operation of OLNIN.
4.3 OLNIN may require a person to leave the premises where reasonably necessary for safety, security, professional conduct or operational reasons.
5. SHARED WORKPLACE
5.1 Shared Workplace Members must use only the areas designated for their Package.
5.2 Shared workspaces are intended for professional business and work activities.
5.3 Members should not leave valuables unattended.
5.4 Members must keep shared areas clear of personal belongings when not actively using them.
5.5 Members must not occupy another Member's designated workspace.
5.6 Extended occupation of common areas or meeting facilities without authorization is not permitted.
6. DEDICATED DESKS AND PREMIUM DEDICATED DESKS
6.1 Dedicated Desk Members may use their designated desk subject to their Package.
6.2 The desk may not be transferred or assigned to another person without OLNIN's approval.
6.3 Members may not make permanent alterations or installations without prior approval.
6.4 Personal equipment must not create safety, electrical, access or operational problems.
6.5 OLNIN may require reasonable rearrangement or temporary relocation for maintenance, safety, events or operational requirements.
7. PREMIUM CUBICLE DESKS
7.1 Premium Cubicle Desk Members may use their allocated cubicle workspace according to their Package.
7.2 The cubicle must be maintained in a professional and orderly condition.
7.3 Members must respect reasonable privacy and noise requirements applicable to the cubicle area.
7.4 No structural, electrical or physical modification may be made without OLNIN's prior approval.
7.5 The same general standards applicable to Dedicated Desk Members apply to Premium Cubicle Desk Members unless otherwise specified.
8. EXECUTIVE PRIVATE OFFICES
8.1 Executive Private Offices are allocated according to the capacity specified in the applicable Package.
8.2 The stated capacity must not be exceeded without prior approval.
8.3 Members may receive Guests subject to applicable visitor procedures.
8.4 Members may not alter walls, doors, electrical systems, fixtures, cabling, furniture or other infrastructure without written approval.
8.5 Signage, branding or external identification must be approved by OLNIN.
8.6 The Member is responsible for damage caused by its Authorized Users, Guests, contractors or representatives.
8.7 The office must be returned in an appropriate condition upon termination, subject to reasonable wear and tear.
9. TEAM WORKSPACE
9.1 Team Workspace arrangements are subject to the capacity and configuration specified in the applicable Package Schedule or quotation.
9.2 The Member must ensure that all team members comply with these Policies.
9.3 Additional users may require prior approval and additional fees.
9.4 OLNIN may establish reasonable capacity, access and security requirements based on the particular Team Workspace arrangement.
10. CORPORATE SUITE
10.1 Corporate Suites are customized arrangements and may occupy a dedicated portion of a floor or an entire floor.
10.2 Specific arrangements shall be governed by the applicable proposal, quotation and/or supplementary agreement.
10.3 Corporate Suite Members remain subject to these Policies unless expressly varied in writing.
10.4 Customization, branding, furniture, access arrangements, IT infrastructure and other requirements must be approved by OLNIN.
11. MEETING ROOM BOOKING
11.1 Meeting Rooms are available to Members and eligible Non-Members subject to availability.
11.2 Reservations must be made through the approved OLNIN booking system, Member Portal, reception or another approved booking method.
11.3 A booking is not confirmed until OLNIN's system or authorized representative confirms it.
11.4 Members must use the facility only for the period reserved.
11.5 Members should leave sufficient time within their booking period for setup and departure.
11.6 Additional time is subject to availability and applicable charges.
11.7 A Member must not continue occupying a room after the end of its booking if another confirmed booking follows.
12. BOARDROOM / CONFERENCE ROOM
12.1 The Boardroom/Conference Room is intended for professional meetings, presentations, negotiations, executive discussions, conferences and similar activities.
12.2 The Boardroom has a stated capacity of approximately 10–12 persons, subject to the actual configuration and applicable safety requirements.
12.3 Use is subject to advance reservation.
12.4 Members and Non-Members are subject to the applicable booking rates.
12.5 Any special setup, equipment, catering or additional services may be charged separately.
13. MEETING ROOM CANCELLATION AND NO-SHOW
POLICY Unless different terms are specified in a particular booking or event agreement:
72 hours or more before booking:
No cancellation charge.
Less than 72 hours but at least 48 hours before booking: 25% of the applicable booking value.
Less than 48 hours before booking: 50% of the applicable booking value.
No-show: 100% of the applicable booking value.
13.1 For Members using Complimentary Meeting Room/Boardroom Allowances, a late cancellation or no-show may result in the reserved hours being treated as used.
13.2 Complimentary hours do not roll over into the following month.
13.3 OLNIN may establish different cancellation terms for special events, corporate bookings or customized arrangements.
14. COMPLIMENTARY FACILITY ALLOWANCES
14.1 Complimentary Meeting Room or Boardroom hours included in a Membership Package are available subject to the Package's stated allowance.
14.2 Complimentary hours:
- are for the applicable Member only;
- are subject to availability;
- must be booked in advance;
- cannot be exchanged for cash;
- cannot be transferred;
- cannot be credited against Membership Fees;
- and do not accumulate from month to month.
14.3 Any unused monthly allowance expires at the end of that applicable month.
15. EVENTS, SEMINARS AND CONFERENCES
15.1 OLNIN may provide indoor and rooftop facilities for:
- seminars;
- conferences;
- corporate events;
- business gatherings;
- private events;
- networking events;
- and other approved functions.
15.2 Events are subject to availability and prior approval.
15.3 Event arrangements may be customized according to the Member's requirements.
15.4 OLNIN may issue a separate proposal and quotation based on:
- number of attendees;
- duration;
- venue;
- setup;
- furniture;
- catering;
- technology;
- staffing;
- security;
- decoration;
- cleaning;
- parking;
- and other requirements.
15.5 An event booking is not confirmed until the applicable quotation/proposal and payment requirements have been accepted.
16. ROOFTOP FACILITY
16.1 The rooftop may be made available for approved private or corporate events.
16.2 Rooftop use is subject to:
- weather conditions;
- capacity restrictions;
- safety requirements;
- event approval;
- security requirements;
- and applicable booking terms.
16.3 OLNIN may suspend or relocate an event where weather, safety or other legitimate circumstances require it.
16.4 Members and event organizers are responsible for ensuring their guests comply with OLNIN's rules.
17. GUEST AND VISITOR POLICY
17.1 Members may invite Guests subject to OLNIN's visitor procedures.
17.2 Guests may be required to:
- register at reception;
- provide identification;
- wear a visitor credential;
- remain within permitted areas;
- and comply with security instructions.
17.3 Members are responsible for the conduct of their Guests.
17.4 Guests may not use Member-only facilities independently unless expressly authorized.
17.5 OLNIN may restrict visitor access where required by security, capacity, privacy or operational considerations.
18. PARKING
18.1 Parking is subject to availability.
18.2 Parking access, parking cards and access credentials may be provided as Package inclusions or paid Add-On Services.
18.3 A parking card or credential must not be transferred to another person.
18.4 Valet Parking, where available, is an optional service subject to availability and applicable charges.
18.5 Parking does not automatically constitute a guaranteed permanently reserved parking space.
18.6 Members and Guests must comply with applicable parking instructions.
19. LOCKERS
19.1 Lockers may be provided as an optional Add-On Service.
19.2 Current standard locker pricing is PKR 3,000 per month, subject to applicable terms and availability.
19.3 Members must use lockers only for lawful and appropriate belongings.
19.4 The following must not be stored:
- hazardous materials;
- illegal substances;
- weapons or prohibited items;
- flammable materials;
- perishable food likely to create hygiene concerns;
- or any item reasonably considered unsafe.
19.5 Members must return locker access credentials upon cancellation or termination.
20. SECRETARIAL SUPPORT
20.1 Secretarial Support is an optional paid service available to Members subject to availability.
20.2 Services may include:
- typing;
- document preparation;
- printing;
- scanning;
- scheduling;
- meeting preparation;
- correspondence support;
- basic administrative assistance;
- and other agreed secretarial tasks.
20.3 Secretarial Support is normally charged according to the applicable hourly or customized quotation.
20.4 Requests must be made through the designated OLNIN channel.
20.5 OLNIN does not guarantee immediate availability of personnel for every request.
20.6 OLNIN is not responsible for errors, delays or outcomes resulting from information supplied incorrectly or incompletely by the Member.
21. CONCIERGE SERVICES
21.1 Concierge Services are optional and subject to availability.
21.2 Concierge assistance may include:
- restaurant or venue reservations;
- transportation coordination;
- courier coordination;
- visitor assistance;
- vendor coordination;
- event-related coordination;
- general business-support arrangements;
- and other reasonable coordination requests.
21.3 Where a third-party provider is involved, the Member may be responsible for the provider's charges.
21.4 OLNIN does not guarantee the performance, availability, pricing, conduct, quality or outcome of independent third-party providers.
22. MAIL AND COURIER
22.1 Members may receive mail or courier deliveries subject to OLNIN procedures.
22.2 OLNIN may notify the Member when a delivery is received.
22.3 OLNIN is not responsible for delays, damage or loss caused by third-party postal or courier providers except where liability cannot legally be excluded.
22.4 Members must collect deliveries within a reasonable period.
23. INTERNET AND TECHNOLOGY
23.1 OLNIN may provide Wi-Fi, internet connectivity, printing systems, meeting technology, CRM access and other technology services.
23.2 Technology services are provided on an operational basis and are not guaranteed to be uninterrupted.
23.3 Members must not:
- attempt unauthorized access;
- interfere with network security;
- introduce malicious software;
- conduct unlawful activity;
- interfere with another user's access;
- or use OLNIN technology to transmit unlawful or harmful content.
23.4 Members are responsible for securing their own devices and data.
24. MEMBER PORTAL / CRM
24.1 Members may receive access to the OLNIN CRM/Member Portal.
24.2 The Portal may allow Members to:
- manage their account;
- view Membership information;
- make bookings;
- reserve Meeting Rooms;
- reserve Boardroom facilities;
- request Services;
- review invoices;
- receive notices;
- and access other available functions.
24.3 Members must keep login credentials confidential.
24.4 Members are responsible for activity conducted through their account unless unauthorized activity has been promptly reported.
24.5 OLNIN may temporarily suspend Portal access for maintenance, security, technical reasons or Membership-related reasons.
25. SECURITY, CCTV AND SURVEILLANCE
25.1 OLNIN uses security and surveillance systems as part of its facility-management and security arrangements.
25.2 These may include:
- CCTV;
- access-control systems;
- visitor registration;
- security personnel;
- digital access credentials;
- and other security technologies.
25.3 CCTV may operate in common areas, entrances, exits, corridors, parking areas and other appropriate locations.
25.4 Surveillance will not ordinarily be conducted in areas where individuals reasonably expect privacy.
25.5 Security information may be reviewed or disclosed where reasonably necessary for security, investigation, legal compliance or protection of persons and property, subject to applicable law.
26. PERSONAL SAFETY AND EMERGENCIES
26.1 Members must comply with all emergency instructions.
26.2 Emergency exits, fire equipment and safety routes must remain unobstructed.
26.3 Members must not interfere with fire alarms, extinguishers, emergency systems or other safety equipment.
26.4 In an emergency, OLNIN may require evacuation or restrict access to affected areas.
26.5 Members must follow instructions issued by OLNIN staff, security personnel or emergency responders.
27. CLEANLINESS AND HYGIENE
27.1 Members must maintain reasonable cleanliness within their workspace.
27.2 Food and beverages may be consumed only in permitted areas or in accordance with applicable facility rules.
27.3 Members must dispose of waste appropriately.
27.4 Members must not create persistent odors, unsanitary conditions or other conditions that materially affect other users.
27.5 OLNIN may charge reasonable cleaning or restoration costs where extraordinary cleaning is required due to a Member's actions.
28. PROHIBITED ACTIVITIES AND MATERIALS
Members must not use OLNIN facilities for activities involving:
- unlawful activities;
- hazardous substances;
- dangerous materials;
- activities requiring unapproved licenses or permits;
- unauthorized commercial food preparation;
- activities creating unreasonable fire or safety risks;
- harassment or intimidation;
- unauthorized weapons or prohibited items;
- activities that materially disturb other Members;
- or any activity prohibited by applicable law.
29. BUSINESS AND PROFESSIONAL USE
29.1 OLNIN facilities are intended primarily for legitimate professional, commercial, corporate, entrepreneurial and business activities.
29.2 Members remain responsible for their own business operations, licenses, registrations, taxes, professional obligations and regulatory compliance.
29.3 OLNIN does not endorse or guarantee any Member's business, products, services, representations or financial performance.
29.4 Membership does not create a partnership, agency, employment relationship, joint venture or representation between OLNIN and the Member.
30. DAMAGE, LOSS AND PROPERTY
30.1 Members are responsible for reasonable care of OLNIN facilities and equipment.
30.2 Damage caused by a Member, Authorized User or Guest may result in recovery of reasonable repair or replacement costs.
30.3 Members remain responsible for their own belongings.
30.4 OLNIN may establish procedures for lost and found property.
30.5 Items left behind following termination may be handled in accordance with OLNIN's applicable procedures and applicable law.
31. NOISE AND PROFESSIONAL ENVIRONMENT
31.1 OLNIN is designed to provide a premium professional environment.
31.2 Members should keep conversations, calls, meetings, music and other activities at reasonable volumes.
31.3 Extended loud calls or discussions should be conducted in Meeting Rooms, private offices or other appropriate areas.
31.4 OLNIN may request a Member to reduce noise or relocate an activity.
32. PHOTOGRAPHY, RECORDING AND PRIVACY
32.1 Members must respect the privacy of other Members.
32.2 Photography, audio recording or video recording of another person or their workspace should not be conducted without appropriate permission.
32.3 Commercial photography, filming or promotional production within OLNIN premises requires prior approval.
32.4 Members must not record confidential meetings or conversations without appropriate authorization.
33. CHILDREN AND MINORS
33.1 Children and minors may enter OLNIN premises only where reasonably appropriate and subject to applicable visitor and safety procedures.
33.2 Children must remain under the supervision of their accompanying adult.
33.3 OLNIN may restrict access to workspaces, rooftop areas or other locations where safety or operational considerations require it.
34. THIRD-PARTY SERVICE PROVIDERS
34.1 OLNIN may coordinate or facilitate services provided by third parties.
34.2 Third-party services may include transportation, valet parking, catering, courier services, cleaning, technology and event services.
34.3 Where the service is provided by an independent third party, OLNIN does not guarantee its performance, availability, conduct, pricing or outcome.
34.4 Members may be required to contract directly with third-party providers where appropriate.
35. COMPLAINTS AND SERVICE ESCALATION
35.1 Members are encouraged to raise service issues promptly with OLNIN reception or management.
35.2 Complaints should provide sufficient information to allow OLNIN to investigate.
35.3 OLNIN will use reasonable efforts to investigate and respond to legitimate complaints.
35.4 Members must not engage in abusive, threatening or disruptive conduct when raising complaints.
36. ACCESS RESTRICTION AND SUSPENSION
36.1 OLNIN may temporarily restrict access where reasonably necessary due to:
- security concerns;
- serious policy violations;
- non-payment;
- safety concerns;
- unauthorized access;
- damage;
- unlawful activity;
- serious disruption;
- or other circumstances permitted by the Master Membership Agreement.
36.2 Restrictions may apply to the Member, Authorized Users or Guests.
36.3 Access restrictions do not automatically waive amounts payable under the Membership Agreement.
37. ABANDONMENT AND UNRESPONSIVE MEMBERS
37.1 If a Member fails to pay amounts due and remains completely unresponsive after reasonable attempts to contact the Member, OLNIN may proceed under the default and termination provisions of the Master Membership Agreement.
37.2 Where a Member remains unresponsive for seven (7) consecutive days following expiry of the applicable three-day payment grace period, OLNIN may issue a Final Notice and proceed toward suspension and/or termination in accordance with the Agreement and applicable law.
37.3 OLNIN may secure the applicable workspace where reasonably necessary.
37.4 Personal property left behind shall be handled in accordance with applicable procedures and law.
38. POLICY ENFORCEMENT
38.1 OLNIN may issue reasonable instructions to enforce these Policies.
38.2 Depending on the seriousness of the matter, OLNIN may:
- issue a warning;
- require corrective action;
- restrict a particular facility;
- suspend access;
- charge applicable costs;
- require removal of a Guest;
- terminate a booking;
- suspend or terminate Membership;
- or take other lawful action.
38.3 OLNIN will consider the circumstances and seriousness of the matter when determining the appropriate response.
39. POLICY UPDATES
39.1 OLNIN may update these Policies from time to time to reflect:
- operational requirements;
- security requirements;
- safety requirements;
- technology changes;
- regulatory requirements;
- facility changes;
- or improvements to Member services.
39.2 Material changes will be communicated through reasonable means where appropriate.
39.3 Continued use of the Facilities after an effective policy update constitutes acceptance of the updated operational Policies to the extent permitted by applicable law.
40. RELATIONSHIP WITH MASTER MEMBERSHIP
AGREEMENT 40.1 These Policies form part of the OLNIN Membership framework.
40.2 The Member's use of OLNIN facilities constitutes acceptance of the applicable Policies.
40.3 The Master Membership Agreement remains the primary contractual document governing the Membership.
40.4 Package-specific terms, quotations and supplementary agreements may establish additional requirements for customized Services.
41. MEMBER ACKNOWLEDGEMENT
By signing the Master Membership Agreement or accepting Membership, the Member acknowledges that it has been provided access to these Policies and agrees to comply with them.
The Member further acknowledges that:
- OLNIN operates a professional shared business environment;
- facility access is subject to availability and applicable rules;
- security and surveillance measures may be used;
- complimentary allowances are monthly and non-transferable;
- bookings are subject to cancellation and no-show rules;
- optional Services are subject to availability;
- the Member remains responsible for its Guests and Authorized Users;
- and serious or repeated violations may result in restriction or termination of access in accordance with the Master Membership Agreement and applicable law.
