OLNIN PRIVATE LIMITED EVENT & ROOFTOP BOOKING TERMS

These Event & Rooftop Booking Terms (“Event Terms”) govern the booking and use of OLNIN Private Limited (“OLNIN”) indoor floors, event spaces, rooftop facilities and other approved areas for seminars, conferences, corporate events, private events, exhibitions, displays, launches and other approved gatherings.
These Event Terms operate together with the Master Membership Agreement, Membership & Facility Policies, applicable Package terms, quotation/proposal and any specific Event Booking Agreement.
EVENT FACILITIES OLNIN may make the following facilities and spaces available for approved events, exhibitions and other activities, subject to availability and suitability:
Indoor Event / Floor Space OLNIN may offer an indoor floor or designated indoor space for:
- seminars;
- conferences;
- corporate events;
- workshops;
- exhibitions;
- art exhibitions;
- product displays;
- brand showcases;
- corporate presentations;
- launches;
- networking events;
- private events;
- pop-up activities;
- and other approved activities.
The availability of a particular floor, area or configuration will depend on the nature, size and requirements of the proposed event.
Rooftop Event Space OLNIN's rooftop may be offered as a distinctive event venue for:
- corporate events;
- private events;
- networking events;
- launches;
- social gatherings;
- exhibitions or displays where suitable;
- receptions;
- seminars or presentations where appropriate;
- and other approved activities.
Rooftop use remains subject to weather, safety, capacity and operational requirements.
Boardroom / Conference Room The Boardroom / Conference Room may be used for:
- board meetings;
- executive meetings;
- client meetings;
- business negotiations;
- presentations;
- corporate discussions;
- and small conferences.
Meeting Rooms The Meeting Rooms may be used for:
- client meetings;
- team meetings;
- interviews;
- consultations;
- presentations;
- business discussions;
- and other small professional gatherings.
OLNIN will determine the appropriate facility based on availability, capacity and the requirements of the proposed booking.
TYPES OF EVENTS AND ACTIVITIES OLNIN may consider bookings for:
- corporate events;
- private events;
- seminars;
- conferences;
- workshops;
- networking events;
- business gatherings;
- presentations;
- product launches;
- brand activations;
- exhibitions;
- art exhibitions;
- photography or creative displays;
- product showcases;
- corporate displays;
- pop-up exhibitions;
- cultural or creative showcases;
- private receptions;
- social gatherings;
- and other activities approved by OLNIN.
OLNIN may decline a proposed activity where the nature, scale or requirements are unsuitable for the premises, create unreasonable operational or security concerns, or otherwise conflict with applicable requirements.
EXHIBITIONS, ART DISPLAYS AND SHOWCASES OLNIN may make suitable indoor floor space, designated areas or the rooftop available for exhibitions and displays.
This may include:
- art exhibitions;
- paintings and artwork displays;
- photography exhibitions;
- sculpture or creative displays;
- product exhibitions;
- product demonstrations;
- corporate showcases;
- brand displays;
- technology demonstrations;
- design showcases;
- fashion or creative presentations;
- launch exhibitions;
- and other approved exhibition formats.
The exact space and configuration will depend on:
- the nature of the exhibition;
- number and size of displays;
- expected attendance;
- installation requirements;
- safety considerations;
- duration;
- access requirements;
- and availability of the relevant area.
Exhibition bookings may be arranged as a standalone facility booking or as part of a broader event package.
EXHIBITION INSTALLATION AND DISPLAY REQUIREMENTS
All exhibition structures, artwork, displays, stands, signage, lighting, equipment and installations require prior approval.
The organizer or exhibitor must ensure that:
- displays do not obstruct emergency exits;
- walkways remain accessible;
- fire and safety equipment remains unobstructed;
- walls, ceilings, floors and fixtures are not damaged;
- electrical connections are safe and approved;
- display structures are stable and secure;
- and all installations are removed within the approved period.
OLNIN may require the organizer or exhibitor to provide additional information concerning the proposed installation before approval.
ARTWORK, PRODUCTS AND DISPLAY ITEMS OLNIN provides space and facilities but does not ordinarily act as:
- an art dealer;
- gallery owner;
- auctioneer;
- sales agent;
- custodian of artwork;
- product distributor;
- or insurer of displayed property.
Unless expressly agreed in writing, the exhibitor remains responsible for:
- transportation;
- delivery;
- installation;
- display;
- security of items;
- insurance;
- removal;
- and return of artwork, products or other displayed property.
SALE OF ARTWORK OR PRODUCTS
Where an exhibition involves the sale of artwork, products or other items, the organizer/exhibitor is responsible for:
- pricing;
- sales transactions;
- customer arrangements;
- taxes;
- licenses or approvals;
- invoicing;
- delivery;
- refunds;
- and all other obligations associated with the sale.
OLNIN does not become a party to transactions between exhibitors and purchasers unless expressly agreed otherwise in writing.
EXHIBITION SECURITY AND INSURANCE Where an exhibition involves valuable artwork, equipment, products or other property, OLNIN may require the organizer or exhibitor to arrange appropriate insurance or additional security measures.
OLNIN may also require:
- additional security personnel;
- controlled access;
- display protection;
- restricted access areas;
- or other reasonable safeguards.
Any additional requirements or costs will be communicated before confirmation where reasonably practicable.
CUSTOMIZED EVENT ARRANGEMENTS Event and exhibition facilities are offered on a customized basis. Because requirements can vary significantly, OLNIN may first conduct an event intake to determine:
- event type;
- exhibition type;
- date;
- duration;
- number of attendees;
- floor or rooftop requirements;
- seating arrangement;
- display requirements;
- furniture;
- technology;
- catering;
- decoration;
- branding;
- security;
- parking;
- valet services;
- staffing;
- cleaning;
- equipment;
- installation requirements;
- and other requirements.
Following the intake, OLNIN may issue a proposal and quotation specific to the event or exhibition.
The quotation will determine the applicable charges and included services.
EVENT BOOKING An event or exhibition inquiry does not constitute a confirmed booking.
An event becomes confirmed only after:
- 1. the event proposal/quotation has been accepted;
- 2. required documentation has been completed;
- 3. required advance payment has been received; and
- 4. OLNIN has issued confirmation.
OLNIN may decline or release a provisional booking where required confirmation or payment is not received within the specified period.
EVENT DATE AND TIME The confirmed event date and time will be stated in the applicable quotation or booking confirmation.
The booking period may include separately specified periods for:
- setup;
- installation;
- event operation;
- exhibition operation;
- breaks;
- dismantling;
- and departure.
The organizer must ensure that all activities are completed within the approved period.
SETUP, INSTALLATION AND DISMANTLING Setup, installation and dismantling must be conducted within the time allocated by OLNIN.
Where additional setup, installation or dismantling time is requested, OLNIN may charge additional fees. No equipment, furniture, decoration, signage, exhibition structure or other installation may be installed without prior approval.
EVENT CAPACITY The maximum permitted attendance will be determined according to:
- the selected facility;
- available configuration;
- fire and safety requirements;
- furniture arrangement;
- event type;
- exhibition layout;
- and applicable regulatory requirements.
The organizer must not exceed the approved capacity.
OLNIN may restrict admission or require an event to be modified where attendance exceeds approved limits.
ROOFTOP EVENTS The OLNIN rooftop may be used for approved corporate, private, exhibition, creative or other events, subject to availability and suitability. Rooftop bookings are subject to additional considerations, including:
- weather;
- wind;
- heat;
- rain;
- electrical safety;
- capacity;
- access;
- emergency evacuation;
- security;
- and other operational considerations.
OLNIN may require an alternative indoor arrangement where reasonably necessary.
WEATHER AND ROOFTOP CONTINGENCY Because rooftop events are affected by weather conditions, the organizer acknowledges that weather may affect the event.
Where reasonably possible, OLNIN may provide or arrange an alternative indoor location, subject to availability. OLNIN does not guarantee that an alternative venue will be available.
Where a rooftop event cannot reasonably proceed because of unsafe weather or other safety circumstances, OLNIN may postpone, relocate or cancel the affected portion of the event in accordance with the applicable booking arrangements.
EVENT DEPOSIT / SECURITY DEPOSIT An event deposit or security deposit may be required depending on the event or exhibition.
The amount will be determined based on the applicable proposal and quotation.
The requirement may depend on:
- event size;
- expected attendance;
- venue;
- exhibition value;
- equipment;
- decoration;
- potential damage risk;
- duration;
- third-party services;
- and other event requirements.
The applicable deposit amount and terms will be communicated in writing before confirmation.
USE OF SECURITY DEPOSIT A security deposit may be applied against reasonable amounts arising from:
- property damage;
- extraordinary cleaning;
- missing equipment;
- unauthorized use;
- additional occupancy;
- unpaid event charges;
- damage to exhibition infrastructure;
- or other documented amounts properly due under the booking.
Where no amount remains due following the applicable inspection and reconciliation, the refundable balance will be returned in accordance with the applicable booking terms.
EVENT PAYMENT The payment schedule will be specified in the event proposal or quotation.
Depending on the nature and size of the event, OLNIN may require:
- full advance payment;
- partial advance payment;
- event deposit;
- security deposit;
- or staged payments.
The event may not proceed unless all amounts required before the event have been paid.
TAXES All quoted prices are exclusive of applicable taxes, unless expressly stated otherwise.
Applicable taxes and statutory charges will be added where required.
CANCELLATION Because event and exhibition bookings may involve advance preparation, staffing, installation and third-party commitments, cancellation terms may differ from standard Meeting Room bookings.
The applicable cancellation terms will be stated in the event proposal, quotation or Event Booking Agreement.
Where no special cancellation terms are stated, OLNIN may apply reasonable cancellation charges based on:
- notice provided;
- event value;
- costs already incurred;
- third-party commitments;
- installation or preparation costs;
- and timing of cancellation.
POSTPONEMENT / RESCHEDULING An organizer may request postponement or rescheduling.
Any change is subject to:
- availability of the new date;
- OLNIN approval;
- third-party commitments;
- costs already incurred;
- and applicable cancellation or rescheduling charges.
Rescheduling is not automatically guaranteed.
NO-SHOW If an organizer fails to attend or proceed with a confirmed event without complying with the applicable cancellation terms, OLNIN may retain or apply amounts already paid according to the applicable quotation or booking agreement.
Any non-refundable third-party costs may also remain payable.
EVENT ORGANIZER / EXHIBITOR The person or organization booking the event or exhibition will be treated as the Event Organizer or, where applicable, Exhibitor.
The Event Organizer/Exhibitor is responsible for:
- providing accurate event information;
- complying with the approved event plan;
- ensuring guests comply with OLNIN Policies;
- controlling attendance;
- ensuring proper conduct;
- coordinating approved vendors;
- protecting OLNIN property;
- protecting its own artwork, products and equipment;
- and paying applicable charges.
GUESTS AND ATTENDEES The Event Organizer is responsible for its guests, attendees, employees, contractors, suppliers and representatives. All attendees may be required to comply with:
- security procedures;
- visitor registration;
- access requirements;
- capacity limits;
- safety requirements;
- and OLNIN's Membership & Facility Policies.
OLNIN may restrict access to unauthorized persons.
SECURITY AND EVENT STAFF Depending on the nature and scale of the event or exhibition, OLNIN may require additional:
- security personnel;
- reception staff;
- event coordinators;
- technical personnel;
- cleaning staff;
- or other support personnel.
Any additional staffing requirements and charges will be identified in the proposal or quotation.
CATERING Catering may be arranged subject to the applicable event proposal.
Where OLNIN provides or coordinates catering, the specific arrangements will be included in the quotation.
Where outside catering is proposed, prior approval may be required.
The Event Organizer remains responsible for ensuring that outside caterers comply with OLNIN's operational, hygiene, safety and access requirements.
OUTSIDE VENDORS AND CONTRACTORS Outside vendors, suppliers and contractors may enter the premises only with appropriate authorization. This may include:
- decorators;
- caterers;
- photographers;
- videographers;
- entertainers;
- technical suppliers;
- furniture suppliers;
- exhibition installers;
- event planners;
- and other contractors.
The Event Organizer is responsible for coordinating such parties and ensuring compliance with OLNIN requirements.
DECORATION Decoration is permitted only with prior approval. Decorations must not:
- damage walls, ceilings or floors;
- obstruct emergency exits;
- interfere with CCTV or security equipment;
- damage furniture;
- create unreasonable fire hazards;
- interfere with electrical systems;
- or create unsafe conditions.
Adhesives, nails, drilling, permanent fixtures and similar installations require prior approval.
BRANDING AND SIGNAGE Event organizers and exhibitors may request reasonable branding and signage arrangements.
All branding must be approved by OLNIN before installation.
OLNIN may determine:
- permitted locations;
- dimensions;
- installation method;
- duration;
- and removal requirements.
Unauthorized branding or signage may be removed.
AUDIO, VISUAL AND TECHNICAL EQUIPMENT Event organizers may request:
- screens;
- projectors;
- microphones;
- speakers;
- video-conferencing equipment;
- presentation systems;
- lighting;
- exhibition lighting;
- and other event technology.
Availability and charges will be determined according to the specific event requirements.
OLNIN does not guarantee uninterrupted operation of third-party equipment.
MUSIC, SOUND AND NOISE All sound, music and audio arrangements must remain within reasonable limits and comply with applicable laws and OLNIN requirements.
OLNIN may restrict or modify sound levels where reasonably necessary to:
- protect the premises;
- comply with applicable requirements;
- protect other occupants;
- or address safety or operational concerns.
PARKING AND VALET Parking arrangements may be included or offered separately. Where available, the Event Organizer may request:
- parking access;
- parking cards;
- access credentials;
- or valet parking.
Parking and valet services are subject to availability and applicable charges.
Where valet or parking services are provided by an independent third party, that provider's terms will apply.
CLEANING Standard cleaning associated with ordinary facility use may be included where specified. Additional cleaning may be charged where an event or exhibition creates:
- excessive waste;
- spills;
- stains;
- unusual mess;
- damage;
- or other extraordinary cleaning requirements.
DAMAGE TO PROPERTY The Event Organizer/Exhibitor is responsible for damage caused by:
- the Organizer;
- attendees;
- guests;
- employees;
- contractors;
- suppliers;
- or other persons associated with the event or exhibition.
Reasonable repair or replacement costs may be deducted from the applicable security deposit or recovered separately.
PERSONAL PROPERTY AND EXHIBITION ITEMS OLNIN does not ordinarily assume responsibility for artwork, products, equipment, displays, personal belongings or other property brought onto the premises, except to the extent liability cannot legally be excluded.
The Event Organizer/Exhibitor is responsible for making appropriate arrangements for:
- transportation;
- storage;
- security;
- insurance;
- installation;
- display;
- and removal.
PHOTOGRAPHY AND VIDEOGRAPHY Photography and videography may be permitted subject to the nature of the event.
Commercial filming, promotional photography or professional production may require prior approval. The Event Organizer is responsible for obtaining appropriate permissions and consents from attendees where required.
OLNIN does not assume responsibility for disputes arising between the organizer, attendees or third parties concerning photography, recording or use of images.
CONFIDENTIALITY AND PRIVACY OLNIN provides facilities but does not guarantee the confidentiality of conversations, documents or information exchanged during an event or exhibition. The Event Organizer is responsible for appropriate confidentiality arrangements.
OLNIN may process personal information associated with event bookings in accordance with its applicable Privacy Policy.
SECURITY AND SURVEILLANCE OLNIN may use:
- CCTV;
- access-control systems;
- visitor registration;
- security personnel;
- and other security measures.
Event organizers, exhibitors and attendees must comply with reasonable security procedures.
No person may interfere with, disable or tamper with OLNIN security systems.
EMERGENCY AND EVACUATION The Event Organizer must comply with all emergency and evacuation instructions.
Emergency exits, fire equipment and safety routes must remain unobstructed.
OLNIN may stop or suspend an event or exhibition where an actual or reasonably anticipated safety risk arises.
PROHIBITED ACTIVITIES Events and exhibitions must not involve unlawful or unsafe activities.
Without limitation, the following are prohibited unless expressly approved and legally permissible:
- dangerous activities;
- hazardous materials;
- unauthorized weapons;
- unlawful substances;
- activities creating unreasonable fire risks;
- activities exceeding approved capacity;
- activities interfering with emergency systems;
- harassment or threatening conduct;
- and activities prohibited by applicable law.
THIRD-PARTY SERVICES OLNIN may facilitate third-party services requested by an Event Organizer.
Such services may include:
- catering;
- valet;
- transportation;
- decoration;
- equipment rental;
- security;
- photography;
- technical support;
- and other event services.
Unless expressly provided by OLNIN itself, third-party services are supplied by independent providers.
OLNIN does not guarantee their:
- availability;
- quality;
- pricing;
- conduct;
- performance;
- or outcome.
SECRETARIAL AND CONCIERGE SUPPORT Where requested, Members or Event Organizers may request optional:
Secretarial Support, including administrative/event documentation assistance; and
Concierge Services, including coordination with vendors, transportation, reservations and other reasonable event-related arrangements.
These services are:
- optional;
- subject to availability;
- subject to applicable charges;
- and limited to the scope agreed by OLNIN.
OLNIN does not guarantee the performance, availability, pricing, quality or conduct of third-party providers coordinated through such services.
EVENT CHANGES Any material change to an approved event or exhibition, including:
- date;
- time;
- attendance;
- venue;
- floor;
- rooftop;
- layout;
- exhibition configuration;
- catering;
- equipment;
- entertainment;
- decoration;
- or other significant requirements must be approved by OLNIN.
Additional charges may apply.
EVENT INTERRUPTION OR TERMINATION OLNIN may suspend, relocate or terminate an event or exhibition where reasonably necessary because of:
- serious safety concerns;
- security concerns;
- unlawful conduct;
- material breach of the Event Terms;
- excessive capacity;
- property damage;
- serious disruption;
- emergency;
- unsafe weather conditions;
- government direction;
- or circumstances beyond OLNIN's reasonable control.
Where an event is terminated because of the organizer's breach or conduct, the organizer may remain responsible for applicable charges, damages and costs.
FORCE MAJEURE OLNIN will not be responsible for failure or delay caused by circumstances beyond its reasonable control, including:
- severe weather;
- natural disasters;
- fire;
- power failure;
- security incidents;
- civil disturbance;
- government restrictions;
- public emergencies;
- major technical failures;
- or other force majeure circumstances.
Where reasonably possible, OLNIN may offer an alternative date, facility or arrangement.
EVENT ACCESS AND SECURITY RESTRICTIONS OLNIN may restrict access to areas not included in the event or exhibition booking.
The Event Organizer must ensure that guests, exhibitors, vendors and contractors remain within approved areas.
Access credentials, passes or other identification may be required.
COMPLIANCE WITH LAW The Event Organizer/Exhibitor is responsible for obtaining any licenses, permissions, approvals or authorizations legally required for its event or exhibition.
OLNIN's approval of an event or exhibition does not constitute confirmation that the Organizer/Exhibitor has obtained all legally required permissions.
NO ENDORSEMENT Approval or hosting of an event, exhibition or showcase at OLNIN does not constitute endorsement by OLNIN of:
- the Event Organizer;
- Exhibitor;
- artist;
- artwork;
- products;
- services;
- speakers;
- sponsors;
- commercial activities;
- political positions;
- or any representations made during the event or exhibition.
LIABILITY To the maximum extent permitted by applicable law, the Event Organizer/Exhibitor remains responsible for its event, exhibition, attendees, contractors, suppliers, property and activities.
OLNIN's liability, if any, shall be governed by the applicable Master Membership Agreement, Event Booking Agreement and applicable law. Nothing in these Event Terms is intended to exclude or restrict liability that cannot lawfully be excluded or restricted.
INDEMNIFICATION To the extent permitted by applicable law, the Event Organizer/Exhibitor may be required to indemnify and hold OLNIN harmless against reasonable claims, losses, damages, costs or expenses arising from:
- the Organizer's breach of these Event Terms;
- unlawful conduct;
- damage caused by the Organizer or its attendees;
- unauthorized activities;
- third-party claims arising from the event or exhibition;
- or violation of applicable law.
Specific indemnification obligations may be further established in the applicable Event Booking Agreement.
EVENT INSURANCE For certain events or exhibitions, OLNIN may require evidence of appropriate insurance or other risk protection.
Any such requirement will be communicated before confirmation. The requirement may depend on:
- event size;
- nature of activities;
- attendance;
- exhibition value;
- equipment;
- third-party participation;
- or risk profile.
HIERARCHY OF DOCUMENTS Where different documents contain provisions relating to an event or exhibition, the following order will generally apply: 1. Specific signed Event Booking Agreement 2. Specific written Event Proposal / Quotation 3. Master Membership Agreement 4. Applicable Membership Package 5. Membership & Facility Policies 6. These Event & Rooftop Booking Terms A specific written agreement may expressly modify this order.
AMENDMENT OF EVENT TERMS OLNIN may update these Event Terms from time to time for operational, security, safety, technological or legal reasons.
The terms applicable to a confirmed event will ordinarily be those incorporated into the relevant booking documentation.
EVENT ORGANIZER / EXHIBITOR ACKNOWLEDGEMENT By accepting an OLNIN event or exhibition proposal, quotation or booking confirmation, the Event Organizer/Exhibitor acknowledges that it has reviewed and accepted the applicable Event Terms.
The Organizer/Exhibitor further acknowledges that:
- event and exhibition facilities are subject to availability;
- indoor floor space and rooftop space may be available depending on the nature and requirements of the activity;
- exhibition and display arrangements are subject to prior approval;
- event arrangements may be customized;
- pricing is based on the specific requirements provided;
- additional services may incur additional charges;
- rooftop use is subject to weather and safety conditions;
- deposits may be required;
- attendees, exhibitors, artists, vendors and contractors remain subject to OLNIN policies;
- damage may result in additional charges;
- OLNIN does not ordinarily act as custodian or insurer of artwork, products or personal property;
- and the Organizer/Exhibitor is responsible for ensuring compliance with applicable laws and requirements.

All event and exhibition arrangements, pricing and facilities are subject to availability, applicable taxes, the approved proposal/quotation and any specific Event Booking Agreement.
